Each client has a photo gallery on their profile — the Photos tab — for before, after, and progress shots. Photos sit behind their own permission, separate from the rest of the record, because clinical images are the most sensitive thing you hold.
How do I add photos to a client?
Open the client's Photos tab
Find the client and open their profile panel, then Photos.
Open the uploader
Click the upload action — a panel slides in beside the profile.
Choose the phase
Mark each photo Before, After, or Progress so the gallery reads as a treatment story, not a pile of images.
Drop in the files
Drag photos onto the dropzone or browse for them, then upload. A confirmation counts what went up; anything too large is called out by name.
Who can see, add, and delete photos?
Photo access is a capability of its own — granting someone the client record does not grant them the gallery:
| Permission | Allows |
|---|---|
| View photos | Open the Photos tab and see the gallery |
| Manage photos | Upload and organise photos |
| Delete photos | Remove photos — deliberately separate from managing |
If your role lacks photo access, the tab shows a locked "hidden by your permissions" state — not an empty gallery. See Why is a field hidden from me?.
Common questions
Why can't I see a client's photos when a colleague can?
Viewing photos is its own permission. Ask an admin to add the photo capability to your role if your work needs it.
The Photos tab looks empty — does that mean none were taken?
Only if you have photo access. Without it the tab renders as hidden, and you can't distinguish "no photos" from "photos you can't see".
Can clients see their own photos?
Photos are internal to the business — they aren't shown in the client portal.
