Collecting and managing reviews

How review requests go out automatically, what clients see, and how the Google rating boost works.

Growth → Reviews

Reviews are collected automatically — a request goes out 24 hours after each appointment. You don't chase them by hand.

What the client sees

The request link opens a short public page: an overall star rating, a would-you-recommend question, and an optional comment. No sign-in, no account.

Once they submit, that's it — the link shows their submitted review rather than letting them rewrite it.

Turning collection on

If your reviews page is empty, review requests aren't enabled yet. Enable them in settings and they start going out automatically after each appointment. Nothing is sent retroactively.

The reviews page

Three figures across the top: your average out of 5, the total number of reviews, and the distribution across the five star ratings. The distribution is the more useful one — an average of 4.6 made of mostly 5s with a few 1s is a different business from a steady wall of 4s and 5s.

Filtering

  • Status — Submitted, Pending, Flagged
  • Rating — 1+ through 5-only
  • Sort — most recent, highest, lowest
  • Location — per site, or all locations
Sort by lowest rating once a week. That list is your operational to-do; the five-star list is just morale.

Statuses

StatusMeaning
PendingRequested, not yet answered
SubmittedThe client answered
FlaggedMarked for attention

A review left without a name shows as Anonymous, and one left without a comment shows as No comment — a bare rating is still a data point.

Google Rating Boost

Settings → Add-ons → Google Rating Boost

When a client submits a high rating on your own review request, this automatically emails them a one-tap link to post that review on Google.

Default Google review linkUsed for any location without its own. Find it in your Google Business Profile under Ask for reviews.
Per-location linksEach location can have its own, or fall back to the default

The add-on shows its own status: Available (off), Needs setup (on but no link configured), or Active.

Review-gating rules vary by platform and by jurisdiction, and Google's own policies on soliciting reviews change. Only inviting happy clients to post publicly is a deliberate choice with compliance implications — check it against the current policies that apply to you before switching it on.

Responding

Reviews are visible on the client's profile under their Reviews tab, so the person who next sees them knows what was said. Reviews access is its own permission — a role can read reviews without being an admin, and staff-tier roles are scoped to their own by default.
