What's in the appointment detail panel

Open an appointment to check clients in, change status, add services, see payments and forms, and reach every appointment action.

Click any appointment block on the calendar to open its detail panel — the appointment's home. From here you check the client in, change status, add services, see what's owed, open forms, and reach every other action through the menu.

What can I do from an open appointment?

Two separate tracks run an appointment, and it helps to keep them apart:

Completed is never set from the status dropdown — an appointment completes when its checkout closes, or via ⋮ → Mark complete (no charge). Choosing No-show or Cancelled opens the matching confirmation dialog, with its money and notification choices.

The front-desk lifecycle

Check in

When the client arrives, press Check in in the footer. If they're early, a dialog — Earlier than scheduled — asks you to confirm before proceeding.

Start service

Press Start service when they go through. The panel then shows a pulsing In service pill instead of a button.

Checkout

When the visit is done, Checkout opens the sale with the client, services and provider already attached. If a sale already exists you'll see View sale instead. Staff without checkout permission see a hint that the front desk can ring it up.

What the panel shows

  • Client header — visit count and lifetime spend tiles, memberships, packages with sessions left, date of birth, tags, and quick actions: Call, Email, Messages, View profile, Edit client details, Add tag.
  • Clinical blockStaff alert, Allergies, Patch test status, and client notes. Fields your permissions hide render as masked, never as empty.
  • Services — every service with duration and price, any deal or discount attached, plus Add service to extend the visit.
  • Payment — an estimated summary: subtotal, discounts, tax, card processing fee, tip, what's paid or held as deposit, and To pay. View breakdown expands the full arithmetic.
  • Notes — the Internal note (staff only) and anything From the client.

Open forms in kiosk tells you exactly where you stand: it toasts All forms signed when there's nothing left, and names the missing client if none is attached.

Common questions

How do I mark an appointment as completed?

Check the client out — completing the sale completes the appointment. For a visit with nothing to charge, use ⋮ → Mark complete (no charge).

Who can see the internal note?

Staff only. It never appears in client emails, the client portal, or on receipts. The From the client note is the one the client wrote when booking.

How do I see whether the client was emailed?

⋮ → View activity lists lifecycle events with who (or what — "Automation", "Scheduled job") triggered them.

Why is Checkout missing?

Either the appointment isn't at a checkout-eligible stage, a sale already exists (View sale shows instead), or your role lacks checkout permission.
