Email templates and care guides

Write reusable emails with variables, customise the built-in system emails, and share pre- and post-care guides by private link.

Email templates

Clients → Emails

A template is a reusable email you send to clients — pre-care instructions, a post-treatment check-in, an appointment note.

Create one

Give it a name, a subject, and a message. Choose a category so the list stays navigable: Pre-care, Post-care, Reminder, Confirmation, Notification, Marketing, or Other.

Variables

Templates support variables — placeholders like the client's name that fill in when the email is sent. The template card shows how many variables a template uses, and the subject field hints at the syntax as you type.

Send a test to yourself before you use a template for real. The test renders with sample values, so you see exactly what a client would.

Branding

Every email you send is wrapped automatically in your logo, brand colours and business address — the same design as your automated messages. You write the content; the chrome is handled.

Set your brand under Settings → Organization details.

Attachments

Up to 5 files, 10MB each — PDFs, images, documents.

Sending

Compose walks you through it: choose who you're emailing, then either use a template or write a custom email. You review the rendered result before it goes.

You can send to one client or to several at once, and schedule a send rather than firing immediately.

Sent emails lists what went out, so you can confirm delivery rather than assume it.

System emails

The System tab on Clients → Emails

These are the branded emails the app sends automatically — confirmations, reminders, receipts, and the rest. They're managed for you and already use your logo and colours.

Open any one to preview exactly what your clients receive. Each has editable copy slots — the specific lines you might want to word differently — while the structure, branding and data tokens stay intact.

Preview your booking confirmation and your reminder at least once. They're the two emails your clients see most, and most businesses never look at them.

Care guides

Clients → Care Guides

Care guides are your proprietary pre-care and post-care instructions: what to do before a peel, how to look after skin afterwards, when to call.

How they're shared

Care guides are shared only through tokenised links, one per client, and are never indexed by search engines. Your protocols don't end up on Google.

Each client gets their own unique link they can bookmark and re-read. Links carry a default expiry, set per guide.

Create one

Author it once and reuse it for every client receiving that treatment. Set a category — Pre-care, Post-care, or General — and publish it when it's ready. Drafts aren't sendable.

The list shows how many times each guide was sent this month and when it was last updated, so you can see which ones are actually earning their place.

Sending

Send from the guide itself, from a client's profile, or from the Send button in the top bar — the same picker that handles forms and emails.

Deleting

Deleting a care guide also invalidates every active client link. Anyone who bookmarked it loses access. Unpublish instead if you just want to stop sending it.
