System emails are the messages Owneli sends automatically — booking confirmations, reminders, receipts, lifecycle messages. You don't write them from scratch: each has a designed layout with editable text slots, so you can change the wording without breaking the parts that must be correct.
Where do I find the automatic emails?
Open Clients → Emails and switch to the system templates. They're grouped by what triggers them — the appointment family, the sales family (receipts and payment messages), and the lifecycle family — with each card showing what the email is for, what sends it, and whether you've customised it.
How do I customise one?
Open the template
Click its card. You'll see the editable slots on one side and a live preview on the other.
Edit the text slots
Each slot is a labelled piece of the message — a greeting, a closing line, a policy note. Required slots can't be emptied.
Use data tokens
Chips like the client's name or the appointment time drop into your text and are filled per-send with real values from the booking.
Save
From now on, that email goes out with your wording. The card is marked as customised.
Editing requires the email-templates management permission.
What you can and can't change
| You control | The wording of each text slot, plus where personal details drop in via tokens |
| Owneli controls | The layout, the booking/sale facts, the links and buttons, when it sends |
That split is the point: your voice, without the risk of a reminder that forgets to say when the appointment is.
Reverting
Reset returns a customised template to the stock wording — useful when an experiment didn't land.
Common questions
What's the difference between system emails and my email templates?
System emails send themselves when something happens; your own templates are ones you compose and send deliberately. Both live under Emails.
Can I turn a system email off?
Sending is governed by the triggering feature (and, for some, an automation), not by the template. The template page links to the controlling automation where one exists.
Do my changes apply to emails already sent?
No — a template change affects sends from that moment on.
