Sometimes a member deserves more than their plan gives: a cancelled visit on your side, an illness that ate the month, a treatment that needs redoing. Add sessions to their membership as goodwill, or give their unused sessions more time, and the reason stays on the record.
Before you start
- Who can do it: anyone who can run checkouts and issue refunds, since it gives value away.
- It's for plans with included sessions. The membership needs a plan with session rules, such as one facial a month. See Memberships.
Give sessions as goodwill
Open the membership
Go to Retail → Memberships sold and select the member. Or open the client, select Items, then Memberships, and select the membership's name.
Start the goodwill
Under Sessions and agreement, select Give sessions.
Choose what to give
Choose the Service, from the services the plan includes. Enter how many Sessions, from 1 to 50, and the Use by date.
Say why
Enter a Reason, such as "Client was ill for the last two weeks of the period". It's kept on the audit trail; the client doesn't see it.
Save
Select Save. You see Sessions updated.
The new sessions are listed under Sessions and agreement, marked goodwill beside the service name, with how many are left and their use-by date, such as 2 of 2 left · use by a date. The client can book and redeem them like any included session.
Give sessions more time, or bring them back
Every batch of sessions with some left has a button beside it:
- Extend, while they're still valid, opens Give these sessions more time.
- Bring back, once they've lapsed, opens Bring back lapsed sessions. A lapsed batch reads lapsed with the date.
Choose the new Use by date, enter a Reason and select Save.
Check it worked
The batch shows the new count or date under Sessions and agreement. At checkout, the sessions are offered for the service like the plan's own.
If something goes wrong
There's no Give sessions button
Your role can't issue refunds, or the plan has no services included. Ask an admin, or check the plan's rules.
There's no Sessions and agreement section
The plan doesn't give sessions, such as an account-balance plan, and no sessions have been added before.
Save stays greyed out
Check that the Use by date is after today and the Reason has at least 3 characters.
