Working with multiple locations

Switch between sites, understand what is scoped to a location and what is shared across the business, and read the all-locations rollup.

Settings → Locations

A location is a place you operate from: its own address, timezone, opening hours, contact details, team, and service menu.

Clients pick a location first when booking online, and services, prices, team and receipts all scope to it.

The location switcher

The switcher sits in the top bar, next to the organisation switcher. It sets your active location — the lens the whole app is looking through.

Your choice persists across reloads and devices, so you come back to the site you actually work at.

If the calendar, stock levels or takings look wrong, check the switcher first. Nine times out of ten the data is correct and you're looking at the wrong site.

All locations

Users with the right permission also get an All locations option — a rollup that shows the whole business at once. It's for owners and area managers; a front-desk role is normally pinned to their site.

What is shared across the business

ThingScoping
ClientsBusiness-wide. One person, one record, wherever they visit.
Product catalogBusiness-wide definitions; only the quantities are per location.
ServicesBusiness-wide definitions; availability and price are per location.
Memberships, packages, gift cardsBusiness-wide, so a client can redeem where they like
Team membersBusiness-wide, with a primary location each
Forms, notes, policies, boardsBusiness-wide
Roles and permissionsBusiness-wide
Tax ratesApplied across all locations, with per-service overrides
Clients being business-wide is deliberate. Someone who has a facial at your north site and a peel at the south site is one client with one history, not two half-histories.The client directory does offer a location filter when you specifically want to see who books where.

Adding a location

Settings → Business setup → Add location. Then set:

  • Name, description, and business types
  • Address — or mark it as mobile and online services only if there's no premises
  • Timezone — set this carefully, it drives every time the calendar and emails display
  • Opening hours
  • Location email and phone

Publishing a location

Each location has its own public profile at a readable URL, plus its own booking link.

A location is either Listed — publicly visible and bookable — or Unlisted. Publishing runs a checklist first; if something required is missing, publishing is blocked and the checklist tells you what to finish.

Copy booking link and Copy profile link give you the URLs to put on your website and socials.

Setting the primary location

One location is the business primary. It's the default for anything that has to pick one when no location is specified.

Archiving a location

Archiving keeps the location's history intact but removes it from the switcher, from booking, and from new activity. Team members assigned there will need a new location. Reassign people before you archive, not after.

Moving stock between sites

Use Retail → Products → Transfers. Stock leaves the source when the transfer is sent and arrives at the destination when it's received — see Products and stock.

Reporting across locations

Most reports carry a location filter, and it lives in the URL alongside the date range.

Two reports are built specifically for multi-site businesses:

  • Location analytics — the picture per site
  • Performance by location — revenue, appointment volume and active staff, side by side

Cross-location redemptions shows where memberships, packages and gift cards sold at one site are being redeemed at another — the number to watch if sites are settled against each other.
