When someone leaves — or you need to lock them out fast — use the Offboarding tab on their team panel. No access (suspend) locks the login but keeps everything else intact; Archive runs a wizard that resolves their future appointments first, then records the departure. Both are reversible.
Admin access is required. The owner and the last active admin are protected — they can't be suspended or archived.
Suspend vs archive: which one?

Archive someone: the wizard
Open Offboarding
Team → click the member → Offboarding tab → Archive.
Resolve the blockers
The wizard won't continue while the member has future appointments, an active clock-in, or an open cash drawer. Recent paid hours show as a warning (make sure payroll is settled) but don't block.
Reassign their future appointments
Every upcoming appointment and add-on is listed. Assign each to a specific provider or leave it on Any available, then choose what clients are told: notify where the provider is client-visible, notify everyone, or notify no one. Click Apply.
Confirm the offboarding
Record the last working day (required), a reason category, optional context, vacation payout days, and knowledge-transfer notes. Confirm to archive.
After archiving, the member's row shows Offboarded. Tick Include offboarded in the team directory to see them; their panel shows the offboarding record — who archived them, when, why — with a Reinstate action.
Common questions
Does suspending someone cancel their appointments?
No. Suspension only locks their login. Their appointments stay on the calendar — if they'll actually be gone, reassign or reschedule those separately, or archive instead.
Why can't I archive the owner?
The owner and the last remaining active admin are protected so a workspace can never lock itself out. Transfer ownership or promote another admin first.
What happens to their historical sales and timesheets?
Nothing — history is preserved. Archiving affects access and future scheduling, not past records, so reports and payroll stay accurate.
