Book and manage a recurring series

Repeat a booking weekly, fortnightly, or monthly, handle skipped clashes, and cancel one visit or the whole remaining series.

To book a standing appointment, set Repeat in the booking panel to Weekly, Every 2 weeks, Every 4 weeks, or Monthly, and choose the Number of visits. Owneli books every occurrence up front — real appointments on the grid, not a rule that materialises later.

How do I set up a repeating appointment?

Build the booking as normal

Client, services, provider, time — see Book an appointment.

Choose the repeat

Set Repeat to a frequency other than Does not repeat, and Number of visits — which includes this first visit, from 2 to 26.

Book it

Every occurrence is created at once, each at the same clinic wall-clock time (daylight-saving changes don't shift the hour). The confirmation tells you how many were booked — "Booked 12 visits".

Skipped occurrences

An occurrence that can't be booked — a clash, a time block, a busy room — is skipped rather than failing the series, and the confirmation warns you how many were skipped so you can place those visits by hand. If nothing could be booked at all, the series isn't created.

Each occurrence sends its own confirmation and reminders. A repeat icon on the calendar block marks members of a series.

Changing one visit

Reschedules and edits always act on the single occurrence you opened — drag it, resize it, or change its services without touching the rest. There is no series-wide edit; a permanent time change means cancelling the remaining visits and rebooking the series at the new time.

Ending the series

Open any occurrence and choose Cancel. Alongside the usual reason, fee and deposit choices, a series member gets one more checkbox:

Cancel this and all upcoming repeats — "Also cancels the remaining future visits in this recurring series."

If Let the client know is ticked, one cancellation notice goes out for the earliest upcoming visit, standing in for the whole series — not one email per occurrence. Fees apply only to the occurrence you opened, never to the future ones.

To end a series but keep next week's visit, cancel from the occurrence after the one you want to keep — only visits from that point forward are cancelled.

Common questions

Can I change the time of every future visit at once?

No — each occurrence is edited individually. For a permanent change, cancel the remaining repeats and book a fresh series at the new time.

Does the client pay a deposit for every visit in the series?

No. Payment-policy steps (card on file, deposits) aren't applied to series bookings made from the calendar — the series books without a payment step.

One visit in the series was skipped — why?

Its slot clashed with another booking, a time block, off-hours, or a required room being taken. The booking confirmation counts the skips; find the gap on the grid and book that visit manually.

If I cancel the series, is the client charged a fee for every visit?

No. Fee and deposit handling applies only to the occurrence you cancelled from; the remaining repeats are cancelled without fees.
