Book an appointment

Build a booking from the calendar — client, services, provider, time — plus repeats, resources, and per-booking payment terms.

Bookings are made in one panel that slides in from the right. You can open it from anywhere in the app, so you never have to navigate to the calendar first just to take a booking over the phone.

Open the booking panel

  • Click an empty slot on the calendar — the date, time, and team member are pre-filled from where you clicked
  • Use Add → New appointment in the calendar toolbar
  • Use the search palette (⌘K / Ctrl+K)

Build the booking

Pick the client

Search by name, email, or phone. If they're new, New client opens the add-client overlay without losing your booking — you come straight back with them attached.

Once a client is attached you'll see a snapshot beside the form: their upcoming visits, what they usually book, and any tags. Recent services appear as one-tap cards, so rebooking a regular is a single click.

Choose services

Pick one or more. Each service you add extends the visit and stacks in the summary with its own duration and price.

Where a service has pricing options or variants, choose one — the duration and price follow the option, not the base service. If the client holds a membership that discounts this service, the member price is shown.

Assign a provider

Each service can go to a different team member, so a visit that starts with one person and finishes with another books as one appointment rather than two.

Only staff who are bookable and have working hours that day appear.

Pick a time

Open slots for the selected date are offered. If the day is full, Find next available jumps to the next date that fits.

You can still book outside working hours — the panel warns you that the slot is off-hours and lets you book anyway. That's how you take the 7am regular who arrives before the doors open.

Add anything else

  • Resources — if the service needs a room or a machine, it's reserved with the booking. Equipment already taken at that time is shown as busy.
  • Internal note — visible to staff only, never to the client.
  • Repeat — weekly, every two weeks, every four weeks, or monthly, for a set number of occurrences. Owneli books the whole series at once and tells you if any occurrence had to be skipped because of a clash.

Book it

The footer shows the full visit — total duration, total price, and any deposit due. Confirm and the block appears on the grid.

Payment terms for this booking

If your business requires a card on file or a deposit, the panel shows what applies and what's due. You can override it for this one booking — no card, card on file, or deposit — without changing your business-wide policy.

Overriding down to "no card" for a booking waives the deposit and the ability to charge that client a late-cancellation or no-show fee later. Fees can only be collected where a card was captured. See Deposits, cancellation and no-show fees.

Double bookings

By default an overlapping booking is refused. If your business has overlapping bookings enabled, the booking succeeds and you get a notice naming the appointment it stacked on, so a deliberate double-book never looks like an accident.

Group bookings

To book several guests into one visit, use Add → Group appointment in the calendar toolbar, or Group appointment from the empty-slot menu. Each guest gets their own service and provider, and they move, check in, and check out together.

After the appointment is booked

The block on the grid is the appointment's home. Clicking it opens the detail panel where you check the client in, add services, take payment, reschedule, or cancel.

Confirmation emails and reminders go out automatically based on your automation settings — you don't send them by hand.
