Save a client's card on file with the secure link

Send a secure link so the client adds their own card — staff never see or type card numbers — then charge it as Card on file at checkout.

To put a card on a client's file, send them a secure link from their profile — they type their own card on a private page, and it goes straight to the payment processor. There is deliberately no way for staff to enter a card number anywhere in Owneli.

How do I get a client's card on file?

Open the client's Wallet

On the client profile, open the Wallet panel and find Payment methods.

Press Send secure card link. It goes to the client's email and phone (whichever is on file — the client needs at least one). The button becomes Resend link for a fresh send.

The client adds their card

Their page — "Add a card to your file" — spells it out: they enter the card themselves, it goes straight to the secure payment processor, the team never sees the number, and nothing is charged now. They press Save card.

The card appears in the Wallet

It lists as brand and last four digits with its expiry, marked Default. It's now chargeable at checkout.

Never take a card number over the phone and type it anywhere — not in a note, not in a form. The secure link exists so card data only ever touches the payment processor. A card number written into Owneli is a compliance breach.

Using the saved card

  • At checkout, the card leads the tender list as On file ··1234 — the fastest way to settle. See Take a payment.
  • If your payment policy requires a card to book, the card satisfies it, and it's what a late-cancellation or no-show fee is charged to.
  • If the bank demands the client confirm an off-session charge, Owneli offers to send a pay-by-link instead — the client approves the charge on their phone.

Paying via a pay-by-link also saves that card to the file automatically, so many clients end up with a card on file without a separate capture step.

Removing a card

In the Wallet panel, the remove action asks you to confirm: removing detaches the card at the payment processor and can't be undone. Removing a card is an admin-level action, not a register task. Clients can also manage their own cards — add, set default, remove — from their portal wallet.

Common questions

Card links expire after 7 days, and sending a new one kills the old one — so an old email's link dies the moment you resend. Press Resend link and have them use the newest message.

Is the client charged when they save a card?

No. Capture stores the card for later use; the page tells them "You are not charged anything now."

Can I add a card during booking instead?

When your payment policy requires a card, the client-facing booking flow collects it as part of booking. For a booking taken over the phone, book first, then send the secure card link from the profile.

Why can't I delete a saved card?

Card removal requires admin permissions. Ask an admin — or the client can remove it themselves in their portal.
