Assign rooms and equipment to a booking

Set up rooms and machines as resources, attach them to services, and let bookings reserve a free one automatically — with real conflict blocking.

Rooms and equipment are resources: set them up once under Operations → Resources, attach them to the services that need them, and every booking reserves a free one automatically. When nothing is free, the booking is blocked — two clients can't share one laser.

How do rooms and equipment get onto a booking?

Create your resources

On the Resources page, press New resource and choose a kind — room or equipment. Identical units are pooled: Add a unit raises how many can be booked at the same time (three IPL handpieces = one resource, three units).

Attach them to services

Open a service and its Resources tab. Mark whether the service needs a room, and which equipment types it consumes. The requirement is by type — "any free treatment bay" — not a specific unit.

Book as normal

In the booking panel, the Room field is auto-assigned to a free room — "Change it if you prefer another"; only rooms actually free for that exact slot are offered. Required Equipment shows as chips, reserved automatically, with an "in use" marker when a unit is busy elsewhere.

Conflicts block — they don't warn

Resource conflicts block even when double-booking is allowed — that setting relaxes provider time only, never physical capacity.

Seeing rooms on the calendar

Resources can be shown as their own calendar columns. An appointment then appears in both its provider's column and its room's column; the room-column copy is read-only — drag the provider-column block to move the visit.

Reducing a resource's units while future bookings still hold them warns you and leaves the affected units in place until you reassign or cancel those appointments — capacity never disappears out from under a booked client.

Common questions

Why can't I pick the room I want?

The list only offers rooms free for the exact slot, provider and duration selected. Change the time and the list re-checks.

Can I book a service without its required room?

No — a required resource with nothing free disables the booking. Pick another slot, or add units to the resource if you genuinely have more capacity.

How do I take a room out of service for renovation?

Pause or archive it on the Resources page. Paused resources stop being offered to new bookings.

Do resources affect online booking?

Yes — public availability only offers slots where the service's required room and equipment are free, so online clients can't book capacity you don't have.
